All about ClickUp Notifications
ClickUp, the wonder of all project management systems, is the best. However, even the greatest things can be overwhelming. One of the most overwhelming parts of ClickUp are the notifications. If you easily get off task, the multiple notifications in the various formats is great to help you stay focused. But if you’re able to focus and stay on task, the constant notifications can be annoying.
Types of notifications
First, if you are in a space, folder, or list, you will automatically be included on all general comments and statuses changes to that area. For example, if you created a process that has 5 steps, but you are only involved with 2 of those steps (and the middle 3 steps rely upon someone else), you will still get notifications on every action with those steps unless you adjust your notifications. That means your email will start to pile up.
Second, there are several types of notifications that ClickUp sends out.
Email notifications--sent when you are added to a space, folder, or list and when you are tagged in any aspect of ClickUp
Mobile app--sent on your phone notifications in all of the above scenarios
Web app--sent through your ClickUp notifications tab in all of the above scenarios
Browser extension--sent through your browser notification in all of the above scenarios
If you have all of those notifications turned on, your office is going to sound like a video game with several pings, and your mailbox is going to be overloaded. Most of us don’t need that many notifications. You can adjust and need to advise your clients on how to adjust to avoid being bombarded by notifications.
What to always keep on
The first rule of thumb is to have alerts on for tagging notifications. It’s extremely important to keep these on. Tagging notifications are when someone deliberately tags you in a comment (using @name will tag someone). These comments are directed to an individual, so they are extremely important. As a ClickUp user, you should also be @mentioning clients or team members whenever you want them to notice a new task or comment, or they’ve been assigned to something that you need them to notice.
What notifications you need
I suggest you also keep on notifications for the following areas:
Tasks Status Changes
Tasks Description Updated
Start & Due Dates Before Due Date reminder
Start & Due Dates After Overdue reminder
ClickApps Time tracking added
Everything in the List Info
Everything in the Chat Views
Why is this important?
Everyone’s list may be different, but it’s important to make a list for your client onboarding. In my guide overview, I explain the importance of preparing your clients with everything they need. Your list should include what you want your clients to notice. If you don’t want them to track time, don’t add that to your list. If you want them to chat, add that to your list. I even suggest that you make video tutorials to help your clients follow along. Do it once, and save it to show client after client, saving yourself time. Your clients will thank you.
